How People works in Krystal OS
One participant, one record
A participant record shows the programs a person is enrolled in, the sessions they attended, their attendance rate and the outcomes they have met. Enroll the same person in a second program and the record grows; it does not duplicate.
Guardians, consents and documents on file
Guardian contacts, consent and media releases, certifications and placements live on the record with a date and a status. When a funder asks for evidence, it is on file rather than in someone's inbox.
Case notes that stay yours
Staff write case notes in plain language. When Krystal AI is asked to draft anything that touches those notes, every personal detail in them is swapped for a stand-in first and swapped back before the answer reaches the screen. A name in the middle of a sentence is caught the same way as a name in a form field.
Counting people without double counting
Unique participants served is a number Krystal keeps, per program and across the organization, because every person exists once. The figure on the dashboard is the figure in the report.
Is participant data protected when Krystal AI writes a report?
Before Krystal asks the AI anything, every personal detail is swapped for a stand-in, whether it was typed into a form or written in a case note. A birth date becomes an age range and an address becomes a general area. Social Security and card numbers are never sent at all. It is all swapped back before the answer reaches you.
Do participants count toward the 500 on Free?
Yes. The Free plan covers up to 500 contacts and participants combined. Pro is unlimited.
Can we record people who are not participants, like donors and volunteers?
Yes. Contacts of any kind live in People alongside participants, each as one record.
