How Money works in Krystal OS
Awarded, spent, remaining, per fund
Every grant is a fund with an award, a spend to date and a remaining balance. Unrestricted money is a fund too, so the whole picture is on one screen rather than split between a grants spreadsheet and the general ledger.
Burn versus calendar
Spending 40 percent of an award halfway through the grant period is a problem in September and a crisis in June. Krystal compares each fund's spend to where the calendar says it should be and labels it: on pace, or underspent by how much.
Donations and bookkeeping stay where they are
Krystal is not an accounting system and does not try to be one. On Pro, donations flow in automatically from Zeffy, and Krystal connects to QuickBooks, Xero, FreshBooks, Sage and Wave, so the books stay in the books and the restricted-fund view stays current.
Spend that lands on the report
Expenditure to date against the award, as a figure and a percentage, is one of the values Krystal AI pulls into the funder report and highlights as computed. Nobody types it in.
Does Krystal replace our accounting software?
No. Krystal tracks restricted funds against grants and programs and connects to QuickBooks, Xero, FreshBooks, Sage and Wave for the bookkeeping itself.
Where do donations come from?
On Pro, donations flow in automatically from Zeffy. Donor records and gifts then appear alongside grants in the same funding picture.
Is restricted fund tracking on the Free plan?
Restricted fund and burn-rate tracking is a Pro feature. Free includes the grant pipeline and full program tracking.
